Onboarding

When the Authorization to Work notice is offered by the Career Center, supervisors must use this orientation list to onboard student assistants.

You can work up to 20 hours per week while classes are in session and 40 hours per week when not in session. Work hours vary depending on the department's needs.

If you work in more than one department, your combined total hours with the departments must stay within the range listed above.

Work must be done during the department operating hours under supervision.

Review the Student Orientation Checklist (sample - official is in the Adobe Sign library). Retain a signed copy for the department’s records.

Review the Supervisor’s Safety Orientation Checklist (General) or (Laboratories) provided by the Environmental Health and Safety Office. Upon completion, print the student employee’s name and CIN on the form, and email to the Experiential Learning Office in the Career Center or Federal Work-Study/LAEP in the Financial Aid and Scholarships Office, depending upon the employee's position classification.

Complete the Family Educational Rights and Privacy Act (FERPA) training online.

Review and complete the Appropriate Use Agreement for Student Assistants (ITS-2803) (mandatory). Retain a signed copy for the department’s records. Email a copy to the Experiential Learning Office in the Career Center or Federal Work-Study/LAEP in the Financial Aid and Scholarships Office, depending upon the employee's position classification. 

If the job requires driving, hired students must enroll in the State Vehicle Driver Program and complete the Defensive Driver Training Program. 

If a personal vehicle is used, they must submit the Authorization to Use Privately Owned Vehicle (Form 261). For more information and to enroll in the program.

Activate an employee username and e-mail account at MyCalStateLA ID under “faculty account.”

Student assistants should use their employee e-mail accounts when conducting University business.

Complete the training required for your position.
